JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Center for Black Digital Research (CBDR)/#DigBlk at The Pennsylvania State University seeks an Administrative Support Coordinator who will help coordinate the administrative and budgetary work of the Center and also support the Mellon Just Transformations (JT) grant. Working closely with Center personnel, this person will provide comprehensive support for finance and budgets, Center administration and operations, and CBDR and JT programming and initiatives. The selected candidate will work closely with the Center for Black Digital Research and the African American Studies Department; with project leaders from English, Philosophy, African American Studies, the Humanities Institute, and History; and with undergraduate researchers, graduate student leaders, postdoctoral fellows, and visiting scholars.
The Administrative Support Coordinator manages the financial and operational activities of CBDR and the Just Transformations Project, and secondarily supports the CBDR administrative team with logistics for events and programming and contributes to documenting and implementing CBDR infrastructure.
The duties related to financial administration include tracking expenses and financial commitments, processing reimbursements and honoraria payments, leading monthly budget reviews, liaising to granting institutions and offices, and ensuring that schedules are maintained and deadlines met.
The duties related to operational activities include monitoring and managing position postings, search processes, and recruitment; guiding students, postdoctoral fellows, and visiting scholars from diverse backgrounds through the hiring and onboarding process; and coordinating appointments across units and communicating across various platforms with internal teams and external partners and departments.
This person will collaborate with the greater CBDR administrative and communications team on CBDR/JT events and programs, including internal and public workshops, conferences, seminars, and on-campus and virtual programming across the Commonwealth and beyond. The Administrative Support Coordinator will collaborate with CBDR administrative staff to develop, implement, and document process, procedures, and evaluations; manage space and communications; manage the scaling of Center administrative infrastructure; and supervise the JT administrative support assistants.
Critical for success is a demonstrated commitment to diversity and the ability to serve as liaison and first point of contact for Penn State students, Penn State faculty and visiting scholars who will make Penn State their intellectual home under the auspices of CBDR and the JT Project.
The Center for Black Digital Research (CBDR) is a public-facing, digital research center with a focus on supporting innovative scholarship; student training; building pipelines that diversify the professoriate; and preparing students for diverse careers. The Center is founded on a set of lived principles that include a commitment to community-building, ethical collaboration, and shared and distributed leadership. CBDR is supported by the College of the Liberal Arts and the Provost’s Office, in partnership with the University Libraries and will be housed in the Pattee Library at the University Park campus.
Education and Experience: This position will be filled as a Level 3 and typically requires an Associate’s degree or higher plus three years of related experience, or an equivalent combination of education and experience; Bachelor’s degree is preferred.
Skills required include excellent written and verbal communication skills across diverse audiences; financial/budgeting experience; comfortable with MS Office Suites and/or G Suite especially spreadsheets; highly organized; and proficient time-management.
Preferred qualifications include grant management experience; hiring and recruiting experience; excellent computer skills including familiarity with Penn State’s budgetary and HR systems; and experience in event management.
