Summary
The HR Strategy and Planning department within University Human Resources is looking for a Finance and Facilities Assistant to join our team! Reporting to the Budget and Project Analyst Lead, you will collaborate with different members of UHR and manage a variety of different areas by coordinating facilities operations, some finance support, and general administrative responsibilities.
This role may be hybrid but will require some onsite work due to the facilities responsibilities and the collaborative nature of the team. Flexible work agreements, reviewed annually, are subject to change dependent upon the needs of the unit.
What You'll Do
Financials Support
- Reconcile several purchasing card (P-Card) accounts on a monthly basis.
- Prepare non-PO vouchers, purchase orders, and payments to individuals through M-Pathways and PeoplePay.
- Under the direction of the UHR Unemployment Claims Manager, process state unemployment claims.
- Manage ITCOM Softphones for UHR staff; work with ITCOM to get new and transferred softphones.
- Run Gross Pay Register with each bi-weekly and monthly payroll cycle; reconcile monthly statement of activity.
Facilities Coordination
- Respond to and prioritize facilities requests regarding building maintenance, office space, phone/data, or AV equipment issues.
- Work with University service units in the oversight and coordination of activities related to facilities maintenance and cleaning. Coordinate service and track work orders for University service units and external vendors.
- Partner with other University departments and vendors on ordering furniture and other equipment. Coordinate with office occupants for moves.
- Oversee key distribution and maintenance; retain master copies of keys and ensure necessary building access for staff.
- Assist Budget and Project Analyst Lead with ensuring compliance in regulatory, security, and safety standards.
General Office Support
- Manage general office support including opening and closing tasks, welcoming guests and responding to inquiries.
- Order supplies and maintain the office supply room, and ensure general common areas remain stocked and organized.
- Distribute mail including handling of confidential and time sensitive items.
- Provide backup support to the Administrative Specialist, including assisting with calendaring and correspondence.
- Demonstrate quality service in the process of supporting and collaborating with colleagues, departmental staff, vendors, and other partners.

Skills You Have
- High school diploma or equivalent
- 2 years in a related role requiring customer service, organization, prioritization in an administrative support role or similar position
- Demonstrated efficiency in basic computing skills including email, calendaring, and document creation and editing
- Some experience with databases and data entry
- Strong attention to detail and interpersonal communication skills
Desired:
- Associates degree in adminstrative/office management studies, facilities management, or other related field
- Experience in financial operations, such as statement reconciliation, purchasing, and payroll
- Knowledge of facilities management and building operations
