Purpose of Job
Administrative support to the Office of the President and Senior Leadership as delegated. Responsibilities require a thorough knowledge of the College’s services and functions. Must maintain a high level of integrity. Must effectively communicate and collaborate with other members of the President’s staff, maintain confidentiality, have flexibility, be able to multitask and perform duties in high stress situations.
Education Requirements
Bachelor’s degree from accredited college or university or equivalent 5+ years of experience in a fast-paced, non-profit or private sector organization supporting an executive-level individual or team
Experience Requirements
- Proficient in the use of Microsoft Office 365 and Adobe Acrobat
- Excellent communication and organizational skills
- Strong multitasking and collaborative skills
- High level of professionalism and discretion
Responsibilities
President & CEO Support
- Coordinate meeting space and catering for various meetings involving Office of the President, Cabinet, Expanded Cabinet, and Senior Leadership meeting logistics
- Work under day-to-day direction of Executive Assistant to the President to ensure efficient operation of the President’s office
- Manage & maintain the legal filing system in collaboration with Chief Legal Counsel
- Expense report and company credit card management
- Travel planning, including conference attendance registration and logistics management
- Administrative support for designated executive cabinet members
- Organizational chart management
- Manage memberships & subscriptions
- Mail birthday and congratulatory letters and cards to Employees, Board of Trustee, and Foundation Board Support
- Assist in scheduling all Board of Trustee and Foundation Board meetings and arrange catering details as directed
- Assist in the preparation, distribution, and archiving all Board of Trustees and Foundation Board meeting materials as directed
- Contribute to the overall success of PTC by performing additional duties as assigned
