About the Department
The mission of the CALS College Advancement is to enhance, promote and support the academic programs, research and extension efforts of the College of Agriculture and Life Sciences (CALS). Within CALS Advancement is the NC Agricultural Foundation, Inc., a non-profit, 501©3 organization formed as a means of supporting agricultural research, extension and teaching activities in CALS. The CALS Advancement team works in close partnership with the central University Advancement Office and its partner colleges.
Essential Job Duties
This Business Services Coordinator position will serve as a critical part of the CALS College Advancement (CA) business services team. Primary responsibilities include, but are not limited to:
- Oversee Extension Awards financial process, including notifying award winners, creating award forms, and assisting with accessing award funds.
- Serve as point of contact for NC State Extension related funds in the NC Agricultural Foundation.
- Serve as liaison between CALS Business Operations and county constituents as it pertains to Foundation funds.
- Provide financial guidance and answer questions for county constituents related to their fund in the NC Agricultural Foundation.
- Review daily gift report for accuracy and make corrections as necessary.
- Ensure all guidelines are met for gifts and proper documentation is included.
- Help manage and monitor the financial resources for the NC State Extension, including NC Cooperative Extension Agricultural Programs, NC 4-H Development Fund and NC FCS & ECA.
- Serve as back up to the Business Services Coordinator – advanced position.
Other Responsibilities
- General office duties such as answering phones, sorting mail, copying, etc. as needed.
- Provide support for various College Advancement events.
- Perform other duties as assigned.
Minimum Experience/Education
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
- Must be organized and have the ability to keep clear and detailed information and records on all financial reporting and provide information as needed.
- Ability to manage spreadsheets of financial information varying in complexity.
- Be proactive to research and resolve problems.
- Must be proactive to research and resolve financial problems.
- Advanced level Microsoft Office, particularly Word and Excel.
- Advanced experience with the Google suite.
- Ability to work occasional evenings and weekends as required.
Preferred Qualifications
- Experience in a university setting, non-profit, or fundraising/advancement office.
- Accounting experience and knowledge of NC State accounting policies and procedures.
- Knowledge of a donor database such as Advance, University and Federal Guidelines, FundDriver, PeopleSoft, Financials and WolfReports.
- Knowledge of principles, practices, and ethics of fundraising, Advancement Services, NC State Foundation Accounting & Investments, gift acceptance policy, and other university advancement protocol at NC State.
- An understanding of the land grant, research Tier One university environment.
- Knowledge of NC State Extension.
- A notary or willingness to become a notary.
